This a pivotal role delivering efficient recruitment and administrative support to our out of school care (OSCAR).

This is a great role if you are a switched-on administrator and have some experience with recruitment. We offer an opportunity to get knee deep in the recruitment process end to end. Based in Auckland, you will be working with our managers in the OSCAR space across the business both in Auckland and Hamilton/BOP. You will receive good support and initial training on our streamlined recruitment processes from both the HR and OSCAR team.

We have a growing need in our business for out of school care staff and need to move quickly to secure candidates. If you like building relationships, possibly being involved with some of our projects and working with a community-based organisation, come and help us provide the resources to promote some truly amazing programmes for the children in our communities.

What will you be doing?

You will be working closely with the OSCAR Operations Managers and Supervisors, HR Business Partner, HR and others in the organisation. Ensuring full compliance to all YMCA recruitment and safeguarding requirements and accreditations are met. Duties include

Co-ordination of recruitment advertising as required

Managing advertising response in a quick and efficient manner

  • Support the recruitment vetting, screening and safeguarding process as appropriate

Assist with on-boarding preparation and other administrative tasks as requested

  • Ensure Advertising requests go to HR Admin to be posted on Seek, Trade Me or other

Ensure Candidate application form, CV, ID is complete and there are no gaps.

Pre-screening activities as requested e.g. carry out pre-screen phone interviews, shortlisting candidates and forwarding details of those worthy of interview to appropriate recruiting manager

Setting up of interviews for managers as requested

  • Forward police vetting forms and appropriate ID’s, visa, docs to HR Admin to lodge efficiently
  • Verbal reference checks

· Respond to unsolicited recruitment related online and phone enquiries

· Support any project work as requested

  • Attending meetings or interviews as required, taking minutes if requested
  • Provide support with any other administrative tasks as and when required

· Contribute to a cohesive and highly motivated team environment

What experience/skills do you need?

  • Minimum 2 years’ experience in administration and recruitment preferred
  • Excellent communication skills at all levels (both written and oral) – running meetings, writing professional reports & correspondence.
  • A basic understanding of Recruitment process and compliance.
  • Excellent time management and organisational skills - ability to prioritise and structure a busy working week in a productive manner
  • Microsoft office computer skills and knowledge – competency in word, excel, powerpoint & outlook
  • Problem solving ability: Can actively find solutions and seek support when necessary
  • An empathetic approach, respects confidentiality and the privacy of others
